Full Time / On-Site

M-F 8:00 am-5:00 pm

Responsibilities

  • Booking and Logistics: assist employees and EA’s with travel arrangements - flights, hotel accommodations, and ground transportation - ensure smooth logistics and adherence to company policy and budget.
  • Booking and Logistics: assist EA’s with creating “Events” within the Navan platform (for conferences and large meetings). Track travelers, answer travel questions, and create reporting on these events.
  • Reporting: create monthly trend reporting on all Navan expense categories (by GL account). Track and manage expenses ensuring compliance with company policies and budgets.
  • Reporting: prepare analysis reporting to determine if travel policies should be updated/changed. Prepare travel savings reports (flight and hotel spend) and compare to original ROI analysis.
  • Monitor the Navan Travel and Expense email boxes and provide timely and accurate responses to users.
  • Reconcile the Employee Receivable account monthly.
  • Audit travel and business expense transactions within the Navan platform.
  • Identify and escalate unusual expense transactions or patterns within the Navan platform (i.e. mileage trends).
  • Assist in documenting policies and procedures regarding the use of the Navan platform.
  • Help facilitate resolution for users having technical difficulties within the Navan platform.

Qualifications

Minimum Requirements: 

  • High school diploma or college degree in related field.
  • Minimum of 2 years Accounts Payable experience.
  • Proficient with travel management software, online booking tools and other relevant technology.
  • Proficient in Microsoft Office Suite, with advanced skills in Microsoft Excel.
  • Strong organizational skills with the ability to manage multiple priorities and meet deadlines.
  • Excellent interpersonal and communication skills, oral and written, with all levels of the organization.
  • Strong attention to detail and problem-solving skills.

Preferred Qualifications:

  • Prior experience within the travel industry (hospitality, travel, tourism, or business administration) helpful.
