Lease Administrator

Full Time / On-Site

M-F 8:00am-5:00pm (flexible)

starting pay rate $23/hour

Responsibilities

  • Review, analyze and abstract lease documents into company database (AMT/MRI) accurately, completely and timely for assigned lease portfolio.
  • Update/maintain information in company database (AMT/MRI) with complete accuracy; including, but not limited to: Landlord/Ownership changes, Operating Expense estimate changes, internal/external contact information and the upload of supporting documentation.
  • Prepare monthly rent files for assigned lease portfolios – obtaining Manager, Vice President & Directors of Finance approval and submission to the Accounts Payable department for payment processing.
  • Drafting of documents such as Lease/Rent Commencement Agreements, Letters of Authorization (for Landlord, Property Management payee changes) and maintenance of Lease Abstract Project List.
  • Responsible for drafting & sending email notifications to key personnel such as Vice President of Real Estate, transactional, accounting/finance, legal, facilities, IT/IS, procurement, and other departments as required for all newly signed lease documents, outlining key details of lease document.
  • Research rent account statements, communicate with landlords on any discrepancies relative to billing statements and reconcile accounts as needed.
  • Prepare “request for payments” as needed.
  • Monitor and manage both incoming mail and email box for assigned lease portfolios. Manage and/or distribute/forward mail/email to appropriate team members.
  • Obtain Certificates of Insurance (COI) as requested.

Qualifications

Minimum Requirements­­­­­­­­­­­

  • Experience in lease administration, knowledge of contracts, understanding of lease terminology and lease abstraction
  • High School Diploma (minimum) and 4+ years’ experience in lease administration or similar role
  • Strong analytical and interpersonal skills, effective and efficient organizational skills
  • Ability to multi-task, completing time-sensitive tasks per department processes & timelines
  • High-level attention to detail and accuracy
  • Excellent analytical and problem solving skills are essential
  • Proficiency in MS Excel
  • Ability to learn and work in multiple software systems

Preferred Qualifications

  • Experience with large-scale lease administration systems (MRI/AMT or alike) preferred
  • Experience using lease admin software
